School Management System (SMS) Deliverables: 1- Complete and fully-functional working program(s) in web executable form as well as complete source code of all work done. 2- Deliverables must be in ready-to-run condition, as follows (depending on the nature of the deliverables): a. For web sites or other server-side deliverables intended to only ever exist in one place in the Buyer's environment--Deliverables must be installed by the Seller in ready-to-run condition in the Buyer's environment. 3- All deliverables will be considered "work made for hire" intellectual property legislation. The tasks that a parent needs to perform: • Viewing their fee account • Viewing timetables • Viewing lesson plans • View feedback from Teachers and reply to feedback • Viewing grades • Viewing news / events portal • Configuring automatic email notifications and SMS Alert The data associated with a parent: • Name • Nationality • Date Of Birth • ID#/Passport# • Address • Children • Email address • Mobile number User: Teacher The tasks that a teacher needs to perform: • Viewing pupil records • Defining lesson plans and coursework / homework • Viewing their timetable • Entering behavioural data • Recording grades • Recording attendance • Creating and managing extra-curricular events • Creating portal content • Reserving shared facilities (e.g. presentation rooms / labs) • Contacting students, parents and teachers by messaging. Teachers can also use the system to send either an email or SMS, i.e. text messages, via a mobile or Sim modem attached to the main PC or Server, through an ad-hoc manual basis or an automated scheduling system. The data associated with a teacher: • Name • Employee Code • Date of Birth • Nationality • Classes • Subject/s • Email address • Mobile number User: Coordinator / Data Entry In charge The tasks that a coordinator needs to perform: • Defining and maintaining subjects, room / teacher / timetable assignments and other static data • Creating portal content • Running reports across the system • Creating or exporting billing and statements • Add Employee/Student • Add/Create subjects • Add Parents • Add/Edit Student’s results and reports • Recording subject-specific and General fees • Contacting student and teachers by a built-in messaging portal The data associated with a coordinator: • Name • Employee Code • Date of Birth • Nationality • Email Address • Mobile number User: Administrator The tasks that an administrator needs to perform: • Defining and maintaining subjects, room / teacher / timetable assignments and other static data • Creating portal content • Running reports across the system • Creating or exporting billing and statements • Add Employee/Student • Add Parent • Add/Edit Students’ results and reports • Recording subject-specific and General fees • Create Accounts for Employees/Coordinator • Control and Gives Access for each account type • Contacting student and teachers by a built-in messaging portal • Add Facilities (Room details) Services and Facilities provided by School: • Labs / Presentation Room Facilities/Services could be made as check list to add to User Account General Tab: To send SMS to any registered user (student, teacher, parent, facilitator) (All Staff Access only). Design\Technical: 1. The SMS should be able to handle MySQL. 2. The SMS should have a help facility with FAQ and ability to send error reports and also able to watch on screen video tutorials to learn to use the software. 3. The SMS should have a customisation feature to allow changes in software logo’s or to be able to add your own logo in different location should you choose to do so. 4. The SMS should be flexible to integrate with text messaging software (sms gateway ??" SIM Modem) 5. The system should be accessible through different web clients such as Microsoft Internet Explorer, Mozilla Firefox, Apple Safari and Google Chrome Browsers. 6. The applications should include a Help and User Manual. Web version should be in html format with all the source html documents. 7. Some of the key modules should include the following: a. Administration: The core database should allow you to access and maintain pupil and school data in a safe and secure environment. It should eliminate the need for duplication of data and automates routine tasks to make running the school easier. b. Error Reporting: Quick editing should ensure that the time taken to complete an error reporting function is dramatically reduced. c. Behaviour: Teachers should be able to access and update the database via a web-browser, which means that behaviour incidents can be updated immediately to ensure accurate data and swift remedial action. d. Attendance: Should make the collection, management and analysis of attendance much easier and it should allow for electronic registration. e. Assessment: A flexible tool to access pupil assessment data for analysis and reporting. It should provide the ability to track pupils against targets made with the ability to colour code assessment data, highlighting areas of weakness for pupils ...etc. f. Reporting: This main module should hold a wide range of standard reports, with the Custom Reports Sub Module being able to report and make analysis by choosing your own parameters with data held on the system. g. Parent Reporting: Teachers should have remote access to pupil data meaning that they can compile their reports in the classroom, the staffroom or from any remote location. h. SMS alert & Email Alert ??"This module should be flexible to manually configure or automatic delivery for event specific. i. One click SMS and e-mail to parents and staffs - free sms gate.
