Access Database merge automation and user interface

We have a very basic access database that is used to track claim applications and automate the sending of letters. We have queries set up to show when letters are due to be printed but are using a mailmerge process each day What we require is Simple user interface for steamlining data entry and modifications with a fast search routine that allows easy searching by typing the first few keys and a list of possible matches are immediately shown single point of click and letters should be automatically generated, printed then status and date is marked in the db ability to attach scanned document in pdf or image format to each record so they can be printed with the merge letters 1 docs max per record. Can be a field for data file location on server but must have abilitilty to print with the automated letters. Ideally if we could have a separate app that scanned the document and attached to database automatically. A4 b&w only Modify a spreadsheet with a button to populate 2 data fields in the DB with data and to auto save as variable made up as 3 cells in the sheet. Withn the ability to auto attach a copy of the .xls file or .pdf so it can be printed with the letter merge On data entry interface we need a drop down selection to select 1 of 10 companies. On the mail merges we will need the address at the top of the letter to be defind by this selection. Mailmerge 1&2 wl use a different address to mailmerge 3&4 and emailmerge 1`&2 will also used a different address.
