Administrative Services Officer provides administrative support for the Institute’s senior executive team, while maintaining responsibility for the overall office management as a whole. Under the guidance of the Executive Assistant, the incumbent works collaboratively to ensure responsibilities within the group are appropriately allocated, with periodic review to assess balance and feasibility.
Position Responsibilities
The Administrative Assistant will report the Project Directors with logistical support from the Assistant Director for Administration and is responsible for assisting with the following:
Communication
* Preparing and disseminating correspondence to current and potential donors and research/practice consortium members, among others
Updating/maintaining website and social media for the project
* Budget/Finance
* Setting up systems to efficiently process payments to external consultants/vendors and reimbursements/travel advances to NYU employees
* Tracking project expenses and preparing/updating budget reports
* Data Entry including reserving spaces, coordinating catering, preparing materials, copying, filing, etc.
* Research Logistics
* Purchasing and coordinating shipping of research technology, including tablets, cellphones, and computers
* Identifying vendors and coordinating translation of project materials and/or project events
* Applicable regulations light Research Tasks
