Add Invoicing to partly finished event management PHP MySQL

The sort of invoice I would like to be able to produce is one that is a statement invoice which would show the total sum for the event less the sum that has been paid to date and we would send this out on booking showing the booking fee due, later showing the deposit due, when the balance is due and after the event showing the final sum due. The invoice would have a line for each item of cost associated with the event apart from items that are included (such as managememnt company commission) where they will be rolled up under a general heading for the day. I suggest a tick box is needed for each item of cost to say if it is included or not. So for example an event (lets call it Shooting at Gunnerside on 12th August) might consist of Cost of days shooting Commission to Management Company Third Party insurance for 5 out of 8 guns Weather cancellation insurance for 1 of the 8 guns Provision of Lunch on Moor Provision of cartridges Provision of loaders for 4 of 8 guns Supply of 4WD to pick up and drop of from hotel Chaperone for one gun who is inexperienced Overage (how many extra birds were shot) Bank charges for exchange from Euro to £ Lunch for extra guests for 3 out of 8 guns It could be feasible that one person shooting would pay for the basic cost of the shooting for 6 of the party but that the other two pay their own way, A N and B N Other. In addition of the 6 being paid for 5 would pay for their own transport by 4WD. All this would need to go on one booking form and the invoices would be Man paying for 6 Gunnerside 12th August shooting including commission and lunch for guns Third Party insurance Weather cancellation insurance Provision of Lunch on Moor Provision of cartridges Provision of loaders Chaperone for one gun who is inexperienced Overage Bank charges for exchange from Euro to £ Lunch for extra guests A N Other Gunnerside 12th August shooting including commission and lunch Third Party insurance Provision of Lunch on Moor Provision of cartridges Overage B N Other Gunnerside 12th August shooting including commission and lunch Third Party insurance Provision of Lunch on Moor Provision of loader Provision of cartridges Overage Invoice to each of the 5 paying for part of the vehicle cost. The cost centres therefore need to be attributable to either the event globally or personal to each person shooting and then need further differentiation (tick box) as to whether they show on the statement invoice or not. In addition each of the costs needs the software to be able to produce a self billing invoice so that for example the man supplying the 4WD would not have to submit an invoice in order to be paid. It may be that this comes in best when entering details of suppliers.
